Automatic Tag Copying for New Contracts & Sub-Locations

Written by Lance Wight

The Automatic Tag Copying feature helps streamline account setup by automatically pre-selecting existing tags when adding new contracts or sub-locations to a customer account.

This reduces manual work, improves consistency, and minimizes the risk of missing important tags during account expansion.

Why This Feature Was Added

Tags exist only at the contract or sub-location level, not at the customer account level. This creates extra work when adding additional contracts or locations to an existing customer.

As one customer described it:

“Not having tags on the customer level adds tremendous amount of time to signing up additional contracts and too much room for error.”

To solve this, Pocomos now automatically carries forward tags from an existing active contract on the account.

How the Feature Works

When creating a:

  • New contract, or

  • New sub-location

…the system will automatically:

  • Find the earliest active contract on the customer account

  • Copy its existing tags

  • Pre-select those tags on the new contract or sub-location

You can still modify the selected tags before saving if needed.

How to Enable the Feature

  1. Navigate to:
    Settings → Company → Summary

  2. Locate the Tag Settings section

  3. Enable the setting for automatic tag copying

Once enabled, the feature will automatically apply during new contract and sub-location creation.

Benefits

  • Faster Account Setup
Eliminates repetitive tag entry when adding additional services or locations

  • Improved Consistency
Ensures related contracts and locations maintain the same tagging structure

  • Reduced Human Error
Prevents missed tags that could impact reporting, routing, automations, or workflows

  • Better Scalability
Particularly valuable for multi-location customers or accounts with multiple service agreements

Important Notes

  • Tags are copied from the earliest active contract on the account

  • If the first contract is cancelled and there are no other active contracts, no tags will be pre-selected.

  • Tags are pre-selected, not locked. You can adjust tags for new contracts or locations on the fly

  • Users can still:

    • Add additional tags

    • Remove copied tags

    • Make changes before saving

This feature is designed to make contract expansion faster, cleaner, and more reliable, especially for teams managing large or multi-location customer accounts.
