QuickBooks Online

QuickBooks, Financial, Accounting

Written by Lance Wight

The QuickBooks Online Integration allows you to automatically sync key financial and customer data from Pocomos into QuickBooks Online. This helps keep your accounting system up to date without manual data entry.

Important: This is a one-way sync from Pocomos to QuickBooks Online. Changes made in QuickBooks will not flow back into Pocomos.

How to Set Up the Integration

  1. Navigate to:
    Settings → Configuration → Integrations

  2. Locate the QuickBooks Online section

  3. Click “Connect to QuickBooks Online”

  4. Follow the QuickBooks authentication flow:

    • Log into your QuickBooks account

    • Select the company file you want to connect

    • Authorize the connection

  5. Once connected, your office will be linked and ready to sync

What Data Syncs

The integration automatically sends the following data from Pocomos to QuickBooks Online:

  • Customers

    • Name

    • Contact information

    • Billing address

  • Invoices

    • Full invoice details

    • Line items

  • Payments

    • Paid payments only (unpaid invoices are not sent as payments)

How Syncing Works

  • Sync runs nightly

  • New and updated records in Pocomos are pushed to QuickBooks Online

  • No manual syncing is required after setup

Important Limitations

  • One-Way Sync Only
Changes made directly in QuickBooks Online will not update or sync back into Pocomos

  • Payments
Only payments that are marked as paid in Pocomos will sync

  • Data Source of Truth
Pocomos should be treated as the system of record for operational and billing data

Best Practices

  • Complete setup before heavy usage
Connect QuickBooks before processing large volumes of invoices to ensure proper syncing from the start

  • Avoid editing synced data in QuickBooks
Make changes in Pocomos to ensure consistency across systems

  • Monitor initial sync
After connecting, review QuickBooks to confirm customers, invoices, and payments are appearing as expected

  • Reconcile regularly
Use QuickBooks reports to verify totals and ensure financial accuracy

Troubleshooting Tips

  • If data is missing in QuickBooks:

    • Confirm the integration is connected

    • Verify the data meets sync criteria (e.g., payments marked as paid)

    • Allow time for the nightly sync to run

  • If you recently connected:

    • Some data may not appear until the next sync cycle completes

This integration is designed to streamline your accounting workflow by automatically pushing critical data into QuickBooks Online—reducing manual work and improving accuracy.
