Schedule Emails to Send Later

Schedule Emails to Send Later

The Schedule Email feature allows you to compose emails now and automatically send them at a future date and time. This gives you more control over communication timing, whether you’re coordinating campaigns, reminders, or operational updates.

You can schedule emails from anywhere you normally send them in the system, including Advanced Search (bulk emails), individual customer accounts, and the Calendar.

Where You Can Schedule Emails

1. Advanced Search (Bulk Emailing)

Use this when sending emails to a filtered group of customers.

How it works:

  1. Go to Customers → Advanced Search

  2. Apply filters to build your target list

  3. Select Action → Send Email

  4. Compose your email

  5. Choose Schedule Send

  6. Select the date and time you want it delivered

  7. Confirm scheduling

2. Individual Customer Account

Use this when sending a one-off or personalized message.

How it works:

  1. Open a Customer Profile

  2. Click Send Email

  3. Compose your message

  4. Select Send Later

  5. Choose the desired delivery time

  6. Save the scheduled email

  7. This can be used when sending email templates and when resending emails from the Action button

3. Calendar (Routes or Days)

Use this when messaging customers tied to specific routes or service days.

How it works:

  1. Go to Calendar

  2. Select a route or full day

  3. Choose Send Email

  4. Compose your message

  5. Click Send Later

  6. Set the delivery date and time

  7. Confirm scheduling

What Happens After Scheduling

Once scheduled:

  • The email is queued automatically in the system

  • It will send at the exact date and time selected

  • You do not need to keep the page open or take further action

  • Scheduled messages can typically be reviewed or adjusted before sending (depending on permissions/settings) by going to Reports->Email Report

Best Use Cases

  • Appointment reminders sent the night before service

  • Route change notifications sent early in the morning

  • Marketing campaigns sent at optimal engagement times

  • Follow-up emails after completed service days

  • Time-sensitive operational updates

Best Practices

  • Schedule emails based on when customers are most likely to read them (often early morning or early evening)

  • Double-check time zones if you operate across multiple regions

  • Use scheduling for consistency, especially for recurring operational communications

  • Batch campaign emails in advance to reduce same-day workload

The Schedule Email feature helps you communicate proactively and consistently, while reducing manual effort and ensuring messages arrive at the most effective time.
